Congratulations! You’ve decided on an amazing event idea. You’ve envisioned it, you know how it will help your business, and how it will serve your attendees. There is no doubt in your mind that it will be epic!

Now that you’ve got the vision down on paper (hopefully you wrote it down if not, this is your cue to do so – wink wink), you are ready for the next phase…Planning.

You know the basic things that need to happen to make this event a success:

  • Book the location
  • Decide on the menu
  • Make an amazing playlist or hire a DJ
  • Find a photographer

But as you begin to write this list, you realize that it seems to continue on forever. The more you write, the more you think of. Then you hop on Google to make sure you aren’t forgetting anything, and you notice there’s a lot more to planning this event than you realized:

  • Contract negotiations
  • Permits
  • Vendor searches
  • Monitoring ticket sales and/or guest lists
  • Responding to emails

That’s when the overwhelm sinks in. You begin to wonder how you are going to fit in all these planning tasks AND keep up with your day-to-day business responsibilities.

Well, my friend, I’ve got a tip for you that will be so helpful you will be jumping for joy. Ready? It’s really pretty simple. DON’T get overwhelmed, DO get HELP!

Yep! It’s that easy. Not convinced? Keep reading.

Sometimes our biggest mistake is NOT asking for help. You can definitely ask a friend or fellow co-worker for help with tasks. But sometimes it doesn’t hurt hiring outside help.  When you need financial advice you turn to your accountant, right? Or how about when you need video, web development, or graphic design needs? You call an expert (unless you are an expert in that field yourself). My point is, you don’t try to navigate ALL of your business needs yourself.

Enlisting the services of an experienced and professional planner only enhances the event planning experience. You are adding another valuable member to your team. Event planners have a certain skill set that your event could benefit from. It’s definitely worth the investment. Here are a few key reasons why:

Hiring a planner saves you TIME

One thing there never seems to be enough of is time. Sometimes we wake up and already feel behind, or go to bed wishing we could have done more in the day. Well, what would you do if you had an extra 20 – 25 hours a week? Depending on your event needs and the planning time frame, planners can spend an average of 20 hours a week working on event tasks. Could you imagine what it would be like if you delegated that much time to someone else? You could focus more on your actual business and not every little event detail. You would have more time to advertise and talk to potential event partners and sponsors while an experienced planner handles the other logistics.

Hiring a planner saves you MONEY

I know what you are thinking, “How can hiring an event planner save me money?” Well, with your budget in mind, your planner will be able to find the best possible options for you. They will be able to negotiate contracts and advise you if products and services are within a reasonable price range. Your planner can help you make event decisions with your budget in mind.

Hiring a planner adds an expert to your TEAM

When you hire an event planner you are adding an advocate and an expert in events to your team. Your planner is in your corner. And they are there to make sure that everything goes as planned and that you are completely satisfied.

Hiring a planner reduces your STRESS

Planning an event can definitely be stressful. Juggling multiple tasks, responding to emails and questions, and the endless to-do list can get very overwhelming. By hiring a planner you reduce that stress level drastically. All those daunting tasks are now your event planner’s job. Your planner will check in with you to review important information and decisions that need to be made. But they will solve a majority of the issues that come up. A part of a planner’s expertise is to problem solve in stressful situations. And you will love them for this!

Offer creative solutions

Mistakes are inevitable. Things happen that are out of our control. But by having a planner on your team, you have a person that is skilled in working under pressure, fixing problems quickly, and coming up with creative solutions to the problems that may come up along the way.
